# Connect Salesforce

> Set up admin approval, connect your account, and save meeting notes to Salesforce event descriptions with accounts, opportunities, and contacts.

  This guide walks you through testing the Salesforce integration on the web. Settings may differ in the desktop app, so use the web app for your first test. Prepare a sample note that has finished recording and a test account or opportunity in Salesforce.

## What do admins and account executives need to prepare?

Your Salesforce admin grants access to the Tiro app. Each account executive (AE) then connects their own Salesforce account from their own Tiro account. An admin's connection does not connect anyone else's account.

Meeting notes are saved in the **Description field of a Salesforce Event**. You can create an event or update an existing event's description. New events can also link to an account or opportunity and include participants.

## How do Salesforce admins approve app access?

Ask your company's Salesforce admin to approve access to the Tiro app. If access is already approved, continue to the account connection steps.

    In Salesforce **\[Setup]**, use Quick Find to open **\[External Client Apps Manager]** and find the Tiro integration app. If the integration uses a Connected App, open **\[Manage Connected Apps]** instead.

    If the app is missing, contact Tiro support about the app and initial setup for your Salesforce organization.
  </Step>

  <Step title="Grant access to the people who need it">
    For apps that use admin pre-approval, check that **\[Permitted Users]** is set to **\[Admin approved users are pre-authorized]**. Associate the relevant profiles or permission sets with the app. If you use a permission set, also check that it is assigned to each AE.

  <Step title="Check record access and editing permissions">
    Check each AE's API access and read permissions for the test Account, Opportunity, and Contact records. The account also needs permission to create Events and edit their descriptions.

    App approval and record access are separate checks. A successful connection does not necessarily mean you can find a particular account or save an event.

  Changing an app's permitted-user policy can affect existing access. Check your company's approval policy and prepare the relevant access permissions before changing it.

## How do account executives connect their Salesforce account?

In Tiro, open **\[Settings]** → **\[Integration]** to connect Salesforce.

    Select **\[Connect]** next to Salesforce. The Salesforce login page opens.

  <Step title="Sign in with your work Salesforce account">
    Sign in with your own account in the organization your admin approved. If an access request appears, review the app and requested permissions before approving it.

  <Step title="Confirm the connection">
    Salesforce is connected when **\[Disconnect]** appears in Tiro's integration settings. Also check the **\[Connected organization]** name when sending a meeting note.

If Tiro says it could not complete the Salesforce connection and you did not cancel it, ask your admin to check that your profile or permission set grants access to the Tiro app. After that check, select **\[Connect]** to try again.

## How do I send my first meeting note?

Start by creating an event from a sample note. Give the note a title such as "Integration test meeting" so you can distinguish it from real sales records.

    Open a note that has finished recording. Select the **\[⋯]** note actions button at the top, then **\[Record to Salesforce]**.

  <Step title="Check the subject and organization">
    Check **\[Connected organization]** and **\[Subject]**. **\[Create a new event]** is selected by default.
  </Step>

  <Step title="Link an account or opportunity">
    Expand **\[More options]**. Under **\[Record to]**, choose **\[Account]** or **\[Opportunity]**. Enter at least two characters of the name, then select a search result.

    Selecting an account or opportunity links the event to that record. You can also create an event without selecting either.
  </Step>

  <Step title="Check participants and content">
    Under **\[Participant (optional)]**, search for and select Salesforce contacts. You can select multiple contacts. If participants were selected automatically, check that they are the right people.

    Under **\[Content to Include]**, choose the summaries, transcript, and generated documents to send. To include a Tiro note link, select **\[Attach share link]**. If **\[Create a shared link]** appears, create the link here. **\[Attach share link]** is selected automatically after creation. If prompted to adjust the access scope, open the note’s sharing settings. If company policy blocks links, contact your admin.

  <Step title="Save and check the result in Salesforce">
    Select **\[Record to Salesforce]** once. In the success message, select **\[Open event]** to check the subject, description, participants, and linked account or opportunity in Salesforce.

<Note>
  The content sent to Salesforce is visible to anyone with access to that event. An attached Tiro share link follows the access permissions set in Tiro.

  The summaries and transcript you send are copied to the Salesforce Event’s Description field. Ask your Salesforce admin about your company’s retention, backup, and deletion policies. To remove the content, edit the event’s description or delete the event in Salesforce. Ask your admin if you lack permission. ## How do I add meeting notes to an existing event?

If a meeting event already exists in Salesforce, you can update its description instead of creating another event.

  Selecting an existing event **replaces its description with the selected meeting content**. Save a separate copy of any existing description you need to keep. The subject, time, participants, and account or opportunity relationships stay unchanged.

1. Open **\[⋯]** → **\[Record to Salesforce]** → **\[More options]** in the note.
2. Under **\[Salesforce event]**, select an existing event. The list includes events near the note's recording time that are owned by your connected Salesforce account.
3. Check **\[Content to Include]**, then select **\[Record to Salesforce]**.
4. Select **\[Open event]** to check the updated description.

## How do I troubleshoot problems?

### Why can't I find an account or opportunity?

Enter at least two characters and check the **\[Record to]** selection. Check whether you can open the record directly using the same Salesforce account. If you cannot, ask your admin for access to the record.

### Why can't I see an existing event?

Check that your connected Salesforce account owns the event and that the event time is close to the note's recording time. Events owned by another account do not appear in the list.

### What should I do if saving fails?

First check whether the event was created in Salesforce. If it already exists, select that event instead of creating another one for the same meeting. If saving continues to fail, ask your admin to check event and field permissions and your company's validation rules.

### What if my Salesforce connection has expired?

Select **\[Reconnect]**, or reconnect from **\[Settings]** → **\[Integration]**.

## Frequently asked questions

### Are notes sent to Salesforce automatically when a meeting ends?

Select **\[Record to Salesforce]** in the note you want to send. Editing content in Tiro does not automatically update an event you already sent. To apply changes, select the existing event and send the note again.

### Can I map content to Salesforce custom fields?

Tiro saves the selected meeting content in the event description. Automatic mapping to individual custom fields is not supported.

### How do I switch Salesforce accounts?

In **\[Settings]** → **\[Integration]**, select **\[Disconnect]** next to Salesforce, then connect the account you want to use.
